Module 05 - Safeguarding

Access enforced per record. Not promised in a policy.

Guardian linkage, parent approval and role permissions are checked by the software on every request, which is a different thing from a document in the club handbook.

What it does

Turns a policy into a check

Most club software treats safeguarding as visibility upward: administrators can see everything and nothing can be deleted. That is useful, and Athra does not argue with it, but it answers a different question from the one a parent is actually asking.

The question a parent asks is what other people can see about their child, and who those people are. Athra answers that by enforcing access per record. The guardian link decides which children an adult can open. The role decides which club screens they can open. Both are evaluated on the request, every time.

Who it serves

Clubs and schools, the same way

Clubs

The welfare officer

A welfare officer can point at how access is enforced rather than at a policy PDF. Approvals, guardian links and role permissions are all visible in the club's own screens.

  • Approvals queue
  • Guardian links

Schools

Staff and safeguarding leads

A school already has a safeguarding structure. This gives the sport side of it the same shape: named roles, explicit permissions, and a record of who was given what.

  • Named roles
  • Explicit grants

Capabilities

What is in the module today

Linkage

Children linked to guardians

A child's record is attached to the adults responsible for them. That link is what the rest of the access model is built on, not a note in a spreadsheet.

  • Guardian on file
  • Invite by email

Access

A parent reaches their own children

Opening a child's record is checked against the guardian link at the moment of the request. A parent who follows a link to another family's child does not get that child's record.

  • Checked per request

Approvals

Parents are approved, not assumed

A parent who signs themselves up waits in a pending state until the club approves them. Until then they see the approval screen and their own profile, and nothing about the club.

  • Pending state
  • Club approves

Roles

Seven roles, separate reads

Owner, admin, head coach, assistant coach, physio, player and parent are distinct, and an admin's permissions are granted one by one rather than as a block.

  • Named roles
  • Granular admin

Club

A screen for the people who own it

The club safeguarding screen and the parent approvals queue sit with the owner and the admins granted that responsibility, so the work has an owner and a place.

  • Owner
  • Granted admins

Two things worth stating plainly. Safeguarding enforcement is a club-level setting, so a club turns it on and it applies from that point. And this module is the mechanism, not the whole story. The written posture, including what a parent sees and what they do not, is on the safeguarding page.
