Module 04 - Subs

Know where every player stands.Records and visibility, not a till.

Athra keeps the subs position for every member: the membership they are on, the instalments agreed, and where they are against it. Families see their own.

What it does

A shared record of the position

Subs go wrong for the same reason everywhere: the position lives in one volunteer's spreadsheet, the family has no way to check it, and the first anyone hears about a problem is an awkward conversation at training.

This module fixes the visibility half of that. The membership, the instalment schedule and the current status sit on the player's record, the club can read the whole picture, and each family can read their own. Everyone is arguing from the same numbers.

To be explicit about the boundary, because it matters: Athra records and displays the subs position. Online payment collection is not switched on today. Athra records what is owed; no card details are held. Online subscription and instalment payments are built and not yet live, and we will say so on this page until the day they are.

Who it serves

Clubs and schools, the same way

Clubs

The treasurer and the committee

A club committee gets the same view of the standings as the person who normally keeps them, which makes handover survivable and makes the annual chase shorter.

  • Committee

Schools

Programme fees held per pupil

Where a school sport programme carries a fee or a kit contribution, it sits against the pupil's record and their family can see the position without asking the office.

Capabilities

What is in the module today

Standings

Status by player, at a glance

One screen shows where the club stands player by player, rather than a treasurer holding it in a spreadsheet only they can read.

  • Per player
  • Whole club

Schedules

The instalment schedule on the record

A player's subs plan carries the membership they are on and the instalments that go with it, so the arrangement is written down where both sides can see it.

  • Membership
  • Instalments

Memberships

Membership types the club defines

The club sets up its own membership products, a member picks the one that applies to them, and student memberships can carry proof against the record.

  • Club defined
  • Member chosen
  • Student proof

Families

Your own children, not the club's list

A parent opens the subs position for each of their own children. They see their family's standing and nothing about anyone else's.

  • Per child
  • Guardian access

Status

An honest state, not a silent one

Where a membership falls behind, the record says so plainly to the person it belongs to, with a route back to their own subs page rather than a dead end.

  • Visible state

The finance screens are read tiers, and who reaches them is a club decision. The default shape is wider than some clubs will want, so it is worth setting deliberately at onboarding rather than discovering later. We would rather flag that than let you find it.
